Electronic Health Record
I use PracticeQ (IntakeQ) as my EHR to manage my group private practice. It can be a lot of work to set up but they have great flexibility in how you manage your practice with responsive support! Sign up here for their free trial.
Telehealth
I used to use Zoom which is a wonderful option, works amazingly well, and has tons of features. Just make sure you get the HIPAA-compliant version! It got a little pricey so I now use the PracticeQ’s built-in telehealth or Google Meet (again, I have the HIPAA-compliant version).
Grants
Therapists tend to overlook grants as a way to take their practice to the next level. I use Skip to find grants, track them, and organize my responses. It is also a really cool community with other business building support.

I use the Astra theme and Spectra builder for building my website in WordPress.
Organizational Tools
TickTick has become one of my favorite day-to-day task managers for business but also personal. It even has an Eisenhower Matrix and Pomodoro Timer built in.
Trello is another favorite of mine for organizing big projects and collaborating with others. Grab my Trello templates here.
Calendar
Artful Agenda is my go-to for organizing all of my ideas, my schedule, and it’s really pretty. Use code RA478678 for 10% off.
Email
Google Workspace (which I use for email) also has Meet which, if you pay for the HIPAA-compliant version of Google Workspace, you can use for telehealth.
Bank
I use American Express Blue Business Cash card. They had a great sign-on bonus that helped me build my business, interest-free for a year and the cash back is really great. You can use this link for up to $250 Cashback.
I use Relay Bank for both of my businesses. They have free checking and you can have as many accounts as you like (great for the Profit First method).
Payments
Along with the built-in payment platform in PracticeQ, I use IVY Pay to collect credit card payments. It is developed by therapists and is HIPAA-compliant. Click here to get your first $1000 in transactions fee-free.
I use Mentaya to check my client’s Out-of-Network benefits. I even have a tool on my website that allows clients to check their own benefits. I find this very helpful as a private pay only therapist. Use this link for 30 days free.
